FreeRange Assets

Privacy Policy

Overview

FreeRange Assets is an asset-tracking service. Organizations use it to keep records of their physical assets — equipment, tools, devices — including where those assets are and who they are checked out to. This policy explains what data we collect to provide that service, how we use it, and the choices you have.

The short version: we collect what the service needs to function, we do not sell your data, and you can export your records or delete them yourself.

Data we collect

  • Account information. Your name, email address, and authentication credentials (or your Google account identifier if you sign in with Google), plus your organization's name and membership roles.
  • Asset records your organization enters. Asset descriptions, tags, serial numbers, purchase information, sites, locations, categories, departments, custom fields, photos, check-out/check-in records, and activity history. This data belongs to your organization; we store and process it solely to provide the service.
  • Billing information. If you subscribe to a paid plan, payments are processed by Stripe. We do not store your full card details on our servers.
  • Usage and log data. Standard technical logs (IP address, browser type, pages requested) used for security, debugging, and keeping the service running.

How we use data

  • To provide, maintain, and improve the service.
  • To send transactional email — invites, password resets, billing receipts.
  • To respond to support requests.
  • To detect abuse and keep the service secure.

We do not sell your personal data or your organization's asset records, and we do not use them for third-party advertising.

Subprocessors

We rely on a small set of service providers to run FreeRange Assets. Each processes data only as needed to provide their service to us:

  • Google Firebase — authentication, database, file storage, cloud functions, and hosting for the web and marketing sites.
  • Stripe — payment processing for paid plans.
  • Brevo — transactional email delivery.

Data retention and export

Your organization's data is retained for as long as your account is active. You can export your asset records as CSV on any plan, including the free plan. Exports are metered per organization per day — 5 a day on the free plan, up to 20 on the highest paid plan — to keep the cost of running the service predictable. Photos and activity history are not part of the CSV export.

If you delete your organization or your account, we delete its records from our production database: assets, sites, locations, categories, departments, people, check-out history, custom fields, and organization settings. Some copies do not disappear at that same moment — files stored outside the database, such as asset photos and export files generated for you, along with copies held in encrypted backups, are removed on a rolling schedule. We do not use any of it for anything else in the meantime, and we do not sell it. If you need written confirmation that a specific deletion has completed, email us at support@freerangeassets.com and we will confirm. We may also retain records where the law requires it.

Security

Data is encrypted in transit, access to tenant data is enforced by per-organization security rules, and access within our team is limited to what is needed to operate and support the service. No system is perfectly secure, but we design so that one organization's data is never queryable by another.

Your rights

Depending on where you live, you may have rights to access, correct, export, or delete your personal data. You can exercise most of these directly in the app (account settings and CSV export); for anything else, email support@freerangeassets.com and we will help.

Children

FreeRange Assets is a business tool and is not directed at children under 13. We do not knowingly collect personal data from children.

Changes to this policy

If we make material changes to this policy, we will notify account owners by email and update the date at the top of this page.
